You can manage your import, archive, and export folders on the Folder Settings tab in CCH Scan Administrator. The tasks you can perform on this tab include:
The Folder Settings tab has four distinct sections. Each is described below.
Folders Grid
The Folders grid lists all the import folders created for your firm. CCH Scan processes files first in the priority order of their import folders, then by the order that files display in this grid. The settings that appear elsewhere in this tab are specific to the currently selected folder setting in this grid.
Displays the rank in processing order of this folder compared to others. Folder order is the secondary criteria for determining the order in which jobs are processed.
Settings Name
Displays the name given to the settings for an import folder.
Priority
Displays the priority assigned to the import folder. Priority is the first criteria for determining the order in which jobs are processed.
Folder Notes
Displays notes that were added for this import folder, if any. Click in this column to enter notes for an import folder.
Click to move the selected folder higher in the Folders grid.
Down
Click to move the selected folder lower in the Folders grid.
Add New
Click to create a new import folder.
Remove
Click to delete the selected folder from the Folders grid.
Data Extraction Section
The data extraction section is located immediately below the Folders grid. You can use this section to specify how data extraction should be handled for the selected folder. Tell me more about the data extraction options.
Do Not Extract Data. No data will be extracted.
Extract Data with User Validation. Select this option if you want to extract and validate data from jobs scanned into this import folder. This option must be selected if you do not plan to use an extraction cover page or if you want to import extracted data into a tax return.
Extract Data but Bypass User Validation. If this option is selected, CCH Scan will extract data, bypass user validation and create the final PDF.
Folder Names and Locations Section
This section, to the right of the Folders grid, displays the locations of the import, archive, and export folders defined for the selected folder setting. You can also select the priority for the import folder.
Other Folder Settings
This section, located in the lower right corner, allows you to specify which steps CCH Scan performs as part of processing, among other settings. Tell me about the settings in this section.
Option
Description
Identify and Bookmark
Select this option if you want the PDF files created by CCH Scan to be bookmarked automatically. This option must be enabled if you plan to import tax form information into Personal Taxprep.
Border Removal
Select this option if you want to remove the borders on the margins of the page.
Auto Rotate
Select the check box if you want the documents in your file to be rotated automatically.
Retain Color
Select this option if you want CCH Scan to retain the color settings that were used during the scanning process. This option can produce better output quality if documents were originally scanned in color or in grey scale instead of in black and white. If you do not select this option, the output files from CCH Scan will be in black and white.
Remove Blank Pages
Choose an option to indicate the criteria to use when removing blank pages. Options:
Disable (blank pages will not be removed);
Less than 6, 11, 16, or 21 characters;
Less than 1-8 lines;
Less than 11 characters is the default.
Catalog
Select the CCH Scan Catalog to use.
Type
This option controls the bookmark structure of the published PDF files generated from the import folder. The options are as follows:
English;
French.
Sort Child Bookmarks
This option is only available if you selected the option to identify and bookmark files. Select this option to alphabetize the child bookmarks that appear in PDFs created by CCH Scan. This option is helpful if you have many iterations of the same form, such as a T5013 form. It can also make it easier to ensure that the order of forms in the PDF matches the order that appears in the tax return.
