CCH Scan picks up files for processing from the import folders. You must have at least one import folder to use CCH Scan, and each import folder must have an archive folder and an export folder assigned to it.
Keep in mind the following when setting up your import folders:
Each import folder must have a unique path.
An import folder must be a valid shared folder (UNC). Access to the folder must be granted to the administrator and the workstation users who will access files in that import folder.
To add and configure an import folder, do the following:
In CCH Scan Administrator, click the Folder Settings tab.
Click Add New.
In the Name field, enter a unique name for the import folder.
Select a priority level for the folder. CCH Scan processes jobs first in the priority order assigned to the import folders, and then in the order that the folders display on the Folder Settings tab. If needed, you can move folders up or down in the list to change the processing order.
Navigate to and select the folder where CCH Scan should pick up files for processing.
Click OK.
Select an archive folder. The archive folder cannot also be used as an import or export folder. You can use the same archive folder for multiple import folders.
Click next to the Archive Folder field.
Navigate to and select the folder that CCH Scan should use to store source documents from this import folder after they are processed.
Click OK.
Select an export folder . The export folder cannot also be used as an import or archive folder. You can use the same export folder for multiple import folders.
Click next to the Export Folder field.
Navigate to and select the folder where CCH Scan should store the bookmarked PDF files.
Click OK.
In the section beneath the Folders grid, select the extraction option to use for the import folder.
Do Not Extract Data. No data will be extracted.
Extract Data with User Validation. Select this option if you want to extract and validate data from jobs scanned into this import folder. This option must be selected if you do not plan to use an extraction cover page or if you want to import extracted data into a tax return.
Extract Data but Bypass User Validation. If this option is selected, CCH Scan will extract data, bypass user validation and create the final PDF.
In the lower right corner of the window, select the folder options.
Option
Description
Identify and Bookmark
Select this option if you want the PDF files created by CCH Scan to be bookmarked automatically. This option must be enabled if you plan to import tax form information into Personal Taxprep.
Border Removal
Select this option if you want to remove the borders on the margins of the page.
Auto Rotate
Select the check box if you want the documents in your file to be rotated automatically.
Retain Color
Select this option if you want CCH Scan to retain the color settings that were used during the scanning process. This option can produce better output quality if documents were originally scanned in color or in grey scale instead of in black and white. If you do not select this option, the output files from CCH Scan will be in black and white.
Remove Blank Pages
Choose an option to indicate the criteria to use when removing blank pages. Options:
Disable (blank pages will not be removed);
Less than 6, 11, 16, or 21 characters;
Less than 1-8 lines;
Less than 11 characters is the default.
Catalog
Select the CCH Scan Catalog to use.
Type
This option controls the bookmark structure of the published PDF files generated from the import folder. The options are as follows:
English;
French.
Sort Child Bookmarks
This option is only available if you selected the option to identify and bookmark files. Select this option to alphabetize the child bookmarks that appear in PDFs created by CCH Scan. This option is helpful if you have many iterations of the same form, such as a T5013 form. It can also make it easier to ensure that the order of forms in the PDF matches the order that appears in the tax return.
Click Save.
